The experience

Clear planning creates
space for strong work.

The process adapts to weddings, portraits, events, and businesses. We handle creative and logistical decisions in the right order so people can stay present and brands can leave with purposeful assets.

01

Inquiry

Choose your project category

Start by selecting weddings, proposals, engagements, family, maternity, lifestyle, headshots, events, branding, or film. Share your date, city, estimated coverage, and the kind of story you want us to create.
We review availability and recommend the most relevant starting collection.Begin your inquiry ↗
02

Connection

Consultation call

We meet by phone or video to understand your priorities, creative direction, schedule, culture, and the people or moments that matter most.
For straightforward portrait sessions, this may be handled by message when a call is unnecessary.
03

Discovery

Creative questionnaire

You receive a category-specific questionnaire covering style, inspiration, relationships, important moments, outfits, ceremony details, deliverables, and any privacy concerns.
Your answers become the foundation of the visual and logistical plan.
04

Creative direction

Theme, concept and props

We turn your questionnaire and references into a visual concept: mood, color palette, wardrobe guidance, lighting approach, story beats, set pieces, and the props that support the idea without overwhelming it.
We identify what Square Atom provides, what the client brings, and what must be rented or sourced. Specialty props, florals, fabrication, shipping, transport, setup, and rental fees are quoted separately.
05

Setting

Studio or location planning

If the project is not in studio, we help compare locations for light, scenery, accessibility, privacy, weather backup, parking, guest movement, and timing.
Location recommendations are matched to the mood of the project—not chosen only because they are popular.
06

Contingency

Weather preparation

We monitor forecast trends, temperature, wind, precipitation, sunset, and severe-weather risk. Outdoor plans include shelter, indoor alternatives, timing adjustments, ground conditions, and protection for people, clothing, props, and equipment.
Weather decisions are made collaboratively. Safety comes first, and rescheduling or a location change may be recommended when conditions threaten the experience or equipment.
07

Permissions

Permits and property access

Some parks, landmarks, rooftops, museums, beaches, and private properties require advance photography permits, reservations, insurance documents, or location fees.
We help identify likely requirements; permit and property fees are paid separately unless included in your proposal.
08

Travel

Travel and destination logistics

For work outside our local service area, we map transportation, lodging, arrival buffers, gear movement, border or customs considerations, local transportation, and backup plans.
International projects may require additional lead time for visas, work permissions, equipment declarations, and local regulations.
09

Aerial

Drone feasibility

Drone coverage is planned only when the airspace, weather, property rules, venue policy, crowds, and local regulations allow safe and legal flight.
Restricted airspace, airports, national parks, emergency activity, high winds, or venue rules may prevent drone use even when it is booked.
10

Creative team

Vendor referrals

When useful, we can introduce trusted planners, coordinators, second shooters, videographers, DJs, photo booths, makeup artists, florists, stylists, rental houses, and other specialists.
Referrals remain independent vendors with their own availability, contracts, pricing, and responsibilities.
11

Investment

Proposal, travel fee and booking

Your proposal summarizes coverage, team, deliverables, selected additions, estimated travel, permits, props, rentals, and the payment schedule. Travel is calculated after the final location and schedule are confirmed.
The date is reserved after the agreement is signed and the required retainer is paid through HoneyBook.
12

Preparation

Timeline and production plan

Before the shoot, we finalize the timeline, shot priorities, locations, lighting plan, props, setup responsibilities, weather backup, vendor coordination, addresses, contacts, and arrival instructions.
For businesses, this also covers brand goals, products or services, talent, shot usage, campaign formats, approval contacts, customer disruption, and production access.
13

Gear plan

Equipment and production readiness

We select and prepare camera bodies, lenses, lighting, modifiers, audio, stabilization, power, media, weather protection, backups, and transport based on the project—not a one-kit-fits-all checklist.
Commercial productions may also require tethering, product surfaces, continuous lighting, interview audio, monitors, extra crew, data management, or client review on set.
14

Creation

Shoot, edit and delivery

On the day, we balance editorial direction with documentary instinct. Afterward, the work is culled, color graded, retouched, backed up, and delivered in an online gallery or film collection.
Business deliverables can be organized by campaign, product, platform, orientation, or team. Estimated turnaround and rush options are confirmed in the proposal.
